Building Use Request

Clallam Bay School is proud to serve as a hub for our local community. We welcome the use of our facilities by community members, local organizations, and non-profits when these spaces are not being used for school-sanctioned activities or maintenance.

To ensure our buildings remain safe, clean, and ready for our students, we have a structured process for all facility use requests.


1. Priority of Use

While we strive to accommodate as many requests as possible, facilities are scheduled based on the following priority levels:

  1. K-12 Educational Programs: Classes and school-day activities.

  2. School-Related Groups: ASB, athletics, and staff meetings.

  3. General Community Use: Public meetings, community events, and private rentals.


2. Rental Categories & Fees

Under Cape Flattery School District Policy 4260, users are classified into categories to determine rental costs. Fees are typically used to cover the costs of utilities, custodial services, and wear-and-tear.

Category 1 School-affiliated (ASB, PTA, Booster Clubs) No Charge
Category 2 Non-profit youth/senior groups (local) Utility/Custodial fees only
Category 3 Other non-profits or community interest groups Hourly Rental + Personnel fees
Category 4 Commercial/For-profit or private events Full Rental Rate

3. How to Request a Space

To reserve a gym, the commons, or a classroom, please follow these steps:

  • Step 1: Check Availability. Contact the school office at 360-963-2324 to see if your desired date and location are available.

  • Step 2: Submit an Application. Fill out the Facility Use Agreement (available at the front office). This must be submitted at least two weeks prior to your event.

  • Step 3: Provide Proof of Insurance. All non-school groups must provide a Certificate of Insurance (COI) naming the Cape Flattery School District as an "Additionally Insured" party. This protects both you and the school in case of an accident.

  • Step 4: Approval & Payment. Once the Principal and District Office approve the request, you will receive a confirmation. Any applicable fees must be paid prior to the event.


4. Community Guidelines

To keep our campus in top shape for our "Bruins," all users must agree to the following:

  • Supervision: A designated adult (21+) must be present and responsible for the group at all times.

  • Tobacco & Alcohol Free: Per state law, all school grounds—including parking lots and fields—are strictly tobacco, drug, and alcohol-free.

  • Cleaning: The facility must be left in the same condition it was found. If extra custodial cleaning is required after your event, additional fees may be billed.

  • Equipment: Use of school technology, kitchen equipment, or specialized athletic gear must be requested and approved in advance.
